Units Template


The Units Template is a full list of all available units for rent and all administrative units in the property. This will include all units available for lease, down units, administrative units and other units available for lease. 

The sample template is attached at the end of the article. Fields in red are required. 

Please complete one template for every property listed in your portfolio.

Note: Be careful when using the drag down function: It can either copy or fill in the series. Double check all addresses and numbers.

 

 

Unit Number: Enter the unit's number. If there are multiple buildings with the same numbers, a unique number must be made for the unit so as for there to be no duplicates. 20 character maximum.

Unit Type Name: This field comes from the field "Name" in the Unit Types template.  For reference, see the Unit Types Template for this property.

Building: The building name or number associated with this unit can be listed here. Use text or numbers for a successful import. 15 character maximum.

Floor: This will include the floor this unit is located on. If located in a basement, the abbreviation "BSMNT" or "0" will work. 5 character maximum.

Status: Pick one of the following:

  • Ready: This unit is under no modeling, construction, etc., and is available for leasing or someone is current living in the unit.
  • Not Ready: This unit is vacant and has not gone through the make ready process and is unavailable for leasing.
  • Down: The unit is down due to major repairs and is not available for leasing.
  • Admin: This unit is used for administrative purposes and is not available for leasing.
  • Model: The unit is used as a model that is shown to prospective residents visiting the property.

Street Address: The unit's address. 

City: Unit's City.  Use Text for proper import. There is a 50 character maximum.

State: Unit's state of residence. Must be the states abbreviation

Zip: The unit's zip code.  Use numbers for proper import. There is a 20 character maximum.

Country: This is the unit's country of residence.  For proper import use text. There is a 50 character maximum.

Street Address Includes Unit Number: Choose one of the following: Yes or No

  • Yes: If the address in the "Street Address" field includes the unit number, select Yes.
  • No: If the address in "Street Address" field does not include the unit number, ResMan will automatically add the apartment number when it is imported. To do so, select No.

Last Vacated Date: This is unnecessary for import.  This will keep track of the date for when the unit was last vacated. This will help keep track of vacancy loss.  Use MM/DD/YYYY date for import format.

  • For Vacant Units Only
  • By providing the Last Vacated Date for a Vacant Unit, ResMan will automatically calculated the total number of days vacant. This number will show up in ResMan on the "Unit Detail Page" as well on the "Available Units" report under the number of days vacant. If you are unable to provide a date then ResMan will always show 0 days vacant until someone moves into that unit and then moves out. 

Total Days Vacant: Enter the total number of days this unit has been vacant. For proper import use numbers. 

Pets Permitted: Are pets allowed to live in the unit?  Indicate by inputting number of pets allowed in unit.   

Available for Online Marketing: Indicate: True or False. (For Clients using the ResMan Online Availability Portal.)

  • True: If the unit is vacant, then it WILL display as available to lease in the Online Availability Portal. 
  • False: If the unit is vacant, it WILL NOT display as available to lease in the Online Availability Portal.

 

Holding Unit: Indicate: True or False. ResMan allows you to create special holding units that will allow you to attach multiple prospects. Regular units that are up for rent will be "False".

  • You can NOT move someone into a Holding unit.
  • Holding Units are automatically excluded from occupancy.

Excluded from Occupancy: Indicate: True or False.
ResMan allows you to exclude specific units from occupancy. Regular units that are up for rent will be "False". Units that will be excluded from being occupied (or are not rentable) are Admin, Model or Holding Units.

Square Footage: Enter the square footage amount without the unit of measurement.

 

HOW TO ADD HOLDING UNITS

This will create a virtual unit where applicants that have been approved and are waiting to be assigned to a unit can be listed. This way, it won't create double entries and interrupt the move out process of residents who are assigned to will-be vacant units. There is not maximum of applicants that can be listed under these units.

Unit Number: Enter "Waitlist"+"Unit Type Name". The unit type is the type of floor plan that was listed in the Unit Types template. For example, if a type listed is "1x1" then the waitlist unit would read "Waitlist-1x1". 

Unit Type Name: List the Unit Type. For reference, see the Unit Types Template for this property.

Building: This can be any number. Remember, this is only a virtual unit that will not affect the real unit count.

Floor: This can be any number. Remember, this is only a virtual unit that will not affect the real unit count.

Status: List as "Ready"

Street Address: The unit's address. This can be the same as all the other addresses.

City: Unit's City. Use Text for proper import. There is a 50 character maximum.

State: Unit's state of residence.  Use text for proper import. There is a 50 character maximum.

Zip: The unit's zip code.  Use numbers for proper import. There is a 20 character maximum.

Country: This is the unit's country of residence.  For proper import use text. There is a 50 character maximum.

Street Address Includes Unit Number: Choose No

Last Vacated Date: Enter the date of the unit when it was last vacated in the format mm/dd/yyyy.

Total Days Vacant: Enter the integer that represents the total days vacant. 

Pets Permitted: Are pets allowed to live in the unit?  Indicate by choosing True or False.

Available for Online Marketing: Choose False. 

Holding Unit: Choose True. 

Excluded from Occupancy: Choose True. These units are not available for rent (because they are virtual) they are merely holding units where applicants waiting to be assigned to a unit can be listed as.  

Square Footage: Enter the square footage amount without the unit of measurement.
